Lead Capture Gate
The gate is an opt-in form that viewers must complete before they can access your demo. It's the most effective way to capture leads directly from your demo experience.
A screenshot of the gate form as seen by a viewer will go here.
Enabling the gate
- Open your demo's Settings (from the editor toolbar)
- Go to the Gate tab
- Toggle Email gate on
Once enabled, any viewer who opens the demo will see the gate form before the demo begins. In preview mode (accessible to your team via the Preview button), the gate is skipped.
Configuring the gate
Heading
The Gate heading is the title displayed above the form. The default is "See how it works". Customise it to match your brand voice — for example: "Get your free walkthrough" or "Explore the product".
CTA button label
This is the text on the submit button. Keep it action-oriented: "View Demo", "Start Tour", or "Show me" all work well.
Form fields
By default, the gate collects the visitor's email address. You can add additional fields to capture more information:
A screenshot of the gate field editor with a few custom fields added will go here.
Click Add field to create a new field. For each field you can set:
| Property | Description |
|---|---|
| Name | The internal field identifier (e.g. company) |
| Label | The label shown to the visitor (e.g. Company name) |
| Type | Text, phone number, or textarea |
| Required | Whether the field must be filled before submitting |
Fields can be dragged to reorder them.
Keep your gate lean. The more fields you ask for, the lower your completion rate. Email + first name is usually enough for qualification. Save the detailed questions for the follow-up.
Notification emails
When a visitor submits the gate form, Preface can automatically email you the submitted details.
Set the Notification email field to the address where you'd like to receive these notifications. Leave it blank to disable email notifications (submissions are still saved and viewable in the Leads section).
The notification email contains:
- The visitor's email address
- All additional fields they filled in
- The demo title and submission timestamp
Webhooks
For integrations with CRMs, marketing automation tools, or platforms like Zapier, Make, and n8n, you can configure outbound webhooks to fire on every gate submission.
Click Manage webhooks at the bottom of the gate settings, or go directly to the Webhooks tab in demo settings.
See Webhooks for full details on setup, authentication, and the payload format.
Viewing leads
All gate submissions are stored in Preface. From the demo list, you can see the total leads count for each demo. Open a demo and go to Leads from the toolbar to view submissions and export them as a CSV.
Monthly leads limit
Depending on your plan, your workspace may have a monthly cap on visible leads. When the cap is active, only the first N leads per calendar month (across all your demos) are shown in the UI and included in CSV exports.
If any month has exceeded the limit, a notice appears at the top of the Leads page explaining how many leads are hidden and prompting you to upgrade. All leads are always stored — none are lost — and upgrading your plan makes the full history visible immediately.
Access tokens
For demos you want to share privately without a full gate, you can use access tokens. See Sharing for details.
